This is an Off Campus Work Study position.
Position Summary:
The Front Desk Assistant is responsible for assisting our Front Desk/Admin Assistant with the reception area of the Club. They serve as the first impression to members, parents, and visitors. This includes the greeting of all guests, answering the phone call, and assisting with any questions regarding the Club and Club programming.
***Must be available from 2 to 6 p.m. Monday through Friday***
Front Desk Coordinator
Operation of the Front Desk
- Maintain the upkeep, safety, security, and appearance of the front desk
- Track daily membership, program attendance, and all other data
- Monitor and track all visitors, volunteers and any other guests who enter the building
- Maintain an organized filing system at the front desk
- Maintain organization of Club membership cards
- Entry of membership information MTS (Visions) Data System
- May be required to create monthly calendars, flyers for Club announcements and other documents as needed
- Answer all phone calls and transfer or take messages for appropriate personnel
- Disperse and communicate necessary information to members, families, and the public about upcoming events, field trips and activities
- Maintain front desk area daily and report supplies needed to supervisor
- Must provide quality customer service, provide guided tours, and answer questions regarding Club programs, fees, policies, etc.
Payment Collection & Policy Enforcement
- Accept weekly payments from parents and issue receipts
- Maintain accurate and up-to-date information regarding member accounts
- Enforce payment policies and make collection calls on unpaid accounts
Partnership Development
- Attend Youth Development Staff meetings
- Participate in professional information and development sessions as required by Unit Director
ADDITIONAL RESPONSIBILITIES
Relationships:
- Maintain daily contact with program and leadership staff
- Maintain contact with members and parents as needed to advise and/or discipline
Other:
- Assistance with some special events in relation to planning, preparation and attending may be required
- Assistance with other office duties as assigned
